The Community Youth Center of San Francisco (CYC) provides the youth of our city a sense of belonging and vital tools and experiences to succeed in life. Our services include academic support and college counseling, job placement and employment training, substance use and violence prevention education, crisis intervention and mediation, leadership development, technology and computer training. Title:                   Administrative & Program Assistant
Salary:               $22.00 - $26.00/hour + Benefits
Reports to:        Sr. Admin & H.R. Manager
Status:               Non-Exempt 

Schedule:          Full Time, 10:00 AM - 6:30 PM (40 hours/week), ends 07/31/2025
                           Part Time, 2:30 PM - 6:30 PM (20 hours/week), starts 08/01/2025
                           (Schedule subject to change depending on agency needs.)

POSITION SUMMARY

We are seeking an Admin & Program Assistant to support general office functions and program operations across the agency. This position is responsible for reception and intake, clerical duties, maintaining office organization and supplies, and providing general administrative support to staff and programs. The role requires a dependable and detail-oriented individual who is comfortable working in a fast-paced, multi-functional environment.

KEY RESPONSIBILITIES

  • Perform general front office duties, including but not limited to opening and closing tasks, answering phones, conducting general intake, distributing mail, photocopying, typing, and filing.
  • Monitor the safety of the office, including but not limited to ensuring walkways/doorways are unobstructed, storing supplies safely, and reporting any building issues in a timely manner.
  • Maintain cleanliness and organization of general office areas, including updating signage, replenishing supplies and forms, and organizing shared workspaces/supply rooms/cabinets, and other related duties.
  • Serve as the first point of contact for visitors, using discretion and judgment to identify their needs and determine the appropriate next steps.
  • Monitor office equipment; troubleshoot and report maintenance issues to the supervisor.
  • Assist with agency-wide data entry and records management with attention to accuracy and detail.
  • Support coordination and logistics for internal events and agency-wide meetings.
  • Provide administrative support to various staff and departments as needed.
  • Perform other duties as assigned by the supervisor.

REQUIREMENTS & QUALIFICATIONS

  • Associate (AA) or Bachelor's (BA/BS) degree or 2+ years of administrative or program operations support experience.
  • Strong interpersonal skills with professional and courteous verbal and written communication.
  • Proficiency in Google Workspace (Drive, Docs, Sheets) and Microsoft Office (Word, Excel).
  • Excellent organizational skills with attention to detail and the ability to meet deadlines.
  • Ability to manage multiple tasks efficiently, maintain calm under pressure, and adapt to changing priorities.
  • Possesses sound judgment and initiative when handling responsibilities independently.
  • Discretion in managing sensitive and confidential information.
  • Reliable, punctual, and able to work both collaboratively and independently.
  • Professional demeanor and strong customer service orientation.
  • Bilingual in English and Chinese (Cantonese and/or Mandarin) or Spanish is preferred.
  • Ability to report to work in-person, Monday - Friday, in San Francisco, CA.
  • Ability to lift and carry items up to 25 lbs.
